Usability Testing & Workflow optimization for a resale platform in development.

Problem :
Circlestack was the main project I worked on during my internship at O My Bag Amsterdam. This initiative supports the Second Chances Program, a pre-loved and Perfectly Imperfect product re-selling program. The project began at the same time as my internship, allowing me to contribute from its inception.
I collaborated closely with the co-founder, Jishnu, and took the lead in utilizing the Control Center, a back-end tool designed to process our inventory of Second Chances products. Working on the Control Center from the start gave me hands-on experience in shaping its functionality and improving the overall workflow.
The Trade-in platform, the front-end interface customers use to trade in their pre-loved bags, was another key focus area. I initiated field testing with the store crew to gather insights and ensure the platform met both customer needs and operational requirements.


Solution :
I worked closely with the co-founder and took a leading role in shaping the Control Center, a back-end system used to process Second Chances inventory. From the beginning, I combined usability testing with real operational use by actively processing trade-in items through the platform. This hands-on approach allowed me to evaluate the system in realistic contexts and identify friction points across the workflow.
To support customer-facing interactions, I also contributed to improving the Trade-in platform. I initiated field testing with the store crew, gathering insights into how the system functioned in-store and how it impacted both staff and customers. Based on these findings, I helped develop an in-store channel within the Control Center. This version simplified key steps such as trade-ins and drop-offs, reducing cognitive load and improving speed in high-traffic retail environments.
In addition, I focused on workflow optimisation by identifying repetitive manual tasks and collaborating on feature improvements that introduced automation. I also refined platform terminology, labels, and categorisation to improve clarity for internal users and increase the quality of AI-generated outputs by experimenting with prompts and structured input.



Challenge :
One of the main challenges was designing for a complex service ecosystem involving both digital and physical touchpoints. The needs of retail staff, operations, and customers often differed, requiring careful prioritisation and negotiation between stakeholders.
Another challenge was working in an environment where the product was evolving rapidly. This required flexibility, continuous documentation, and weekly alignment with the team. Balancing usability, efficiency, and business goals while maintaining a scalable system was critical to the project’s success.
Summary :
This project strengthened my skills in service design, usability testing, and stakeholder collaboration within a real-world product environment. I gained hands-on experience in workflow optimisation, automation, and designing tools that support both customers and employees.
Most importantly, it deepened my understanding of how digital systems shape operational behaviour and efficiency, reinforcing my interest in behaviour-driven design, interaction systems, and scalable product development.
